How to Find and Clean Up Duplicate Transactions in QuickBooks Online

  • Bank connection resets: Reconnecting a broken bank feed and inadvertently pulling in historical transactions that were previously categorized.

How to Spot Duplicate Transactions Quickly

Before you can clean up your books, you need to locate the redundancies. There are three primary places to hunt for duplicates.

Review the Bank Register

Navigate to Accounting → Chart of Accounts → View Register. Scroll through the account in question and keep an eye out for identical transaction amounts, matching dates, and duplicate payees. Because items are listed chronologically, side-by-side duplicates easily stand out.

Examine Bank Feed Transactions

Go to Transactions → Bank Transactions and look at your recently imported items. Pay special attention to transactions sitting in the "For Review" tab. Often, you will find imported bank data that matches a check or expense you already manually recorded.

Run a Transaction Detail Report

For a more comprehensive view, navigate to Reports → Transaction Detail by Account. You can customize this report by narrowing the date range and sorting the data by amount or vendor. When you sort by amount, identical duplicate charges will stack directly on top of one another, making patterns immediately obvious.

The Cleanup Process: Choosing What to Keep and What to Cut

When you spot a duplicate, don't delete one at random. You need to ensure you are preserving the record with the most complete and accurate information.

Before removing anything, ask yourself a few key questions:

  • Is one of the transactions already reconciled?
  • Is one linked to a specific bill, invoice, or vendor profile?
  • Does one contain important attachments, receipts, or internal notes?

Always keep the more complete version. Once you have made your decision, the removal process depends on how the duplicate was generated.

For manually entered duplicates: Open the transaction, click "More" at the bottom, and select "Delete."

For bank feed duplicates: If the duplicate is sitting in your bank feed waiting to be categorized, simply check the box next to the transaction and choose "Exclude." This prevents it from entering your permanent ledger.
